3. Share a Portal

Introduction

The feature allows sharing and access control options allowing to collaborate effectively while safeguarding sensitive information.

 

Permissions

Visibility Levels

The overall visibility of the Portal can be defined through 3 levels :

  • Private:

    • Access restricted to explicitly invited individuals only

    • Highest level of security

    • Ideal for confidential or sensitive information

    • Only visible for the creator in portal lists or DAM search results

  • Internal:

    • Accessible to all organization members without specific invitations

    • Suitable for sharing information within the company

    • Visible in portal lists and DAM search results for organization members

Configuration

Internal sharing can be configured. A project can activate the configuration of a metadata.

  • Public :

    • Accessible to anyone with the Portal link, no login required

    • Provides the broadest access

    • Appropriate for sharing public information

    • Visible in portal lists and DAM search results for all users

    • By default all assets in a public portal are visible excepted archived, draft and internal assets

Assets visibility on public portals can be configured.

By Default, a Portal is set to be the Private visibility, only the creator and the administrator can access it.

The public visibility can be configured. A project can activate or deactivate this level of visibility.

Access Roles

When sharing a Portal, two different roles can be assigned to invited users:

  • Contributor:

    • Modify Portal content :

      • Add, edit, or delete items and sections

      • Change cover image and logo

    • Share the Portal with others

    • Ideal for team members actively involved in content management

  • Reader:

    • View Portal content

    • Download Portal content

    • Cannot make any changes to the Portal

    • Suitable for end-users or stakeholders who need access to information without editing rights

Search for people to invite and choose the role for each invitee in the Portal
